FAQ

 

Attendo software

Attendo is a time, attendance and/or access control system. It includes recording and storing passes, access permissions, data processing and much more. Based on collected data in system, it provides an opportunity of generation numerous reports.

Attendo system enables the user to record daily events, such as arriving to work, going out for a break, business and private outings, end of work time, etc. You can also define time frames for all the permissions. This way, the user has complete and efficient control of the time which employees spend at work, their earliness/lateness, overtime, sick leave, holidays, and also the final cost calculations.

Software

After logging in to Attendo system, go to tab “General” and section “Employees”. Click on green icon with plus in top right corner.

After click, new window pops where you need to enter employee’s code, first and last name, as well as other necessary data. In “Employee” window there are four tabs: General, Address, Attendance and Identification.

Tab “General” contains data about organization unit, workplace, work group, nationality and contact data for employee. It is desirable to previously create organizational structure of the company, work places, nationalities, etc. so when adding or improving employee’s data, is possible to simply choose desired options. 

 

Tab “Adress” contains residential data of employee.


 

Tab “Attendance” keeps data about employee’s start date of book-keeping and working hours. This is also the place to grant access to employee to his/hers attendance data.  If selected the field “Allow” the module for ERV or KP is set to active for that specific employee. 


 

Identification” tab contains labels for RFID number and fingerprint data.

To edit data employee it is necessary to press pen icon at the end of employee row.

 

Next step is popup window. It is the same as the popup for adding new employee. It is possible to add first, middle and last name, as well as the whole set of private employee’s data. At the end, it is also possible to add employee’s picture.


 

Tab “General” contains data about organization unit, workplace, work group, nationality and contact data for employee. It is desirable to previously create organizational structure of the company, work places, nationalities, etc. so when adding or improving employee’s data, is possible to simply choose desired options.

To delete selected employee it’s enough to press red can icon and confirm action.

To create and define working hours it is necessary to click on “Attendance” tab, then in section “Settings” click on “Working hours“. After that, new window opens where is necessary to click on green plus icon.

 

New window opens where code and name of working hours must be entered. There are five tabs are included: General, Pause, Penalties, Overtime and Standby.

 

 

General tab contains labels with general data about working hours, type and period. Weekend time should be defined as standalone working time. Working hours are defined by click on clock icon. Besides working hours, it is possible to define allowed delay and earliness of employees. It is also possible to define night working hours, and to limit all time flow to the period of work time. 


 

Pause tab contains labels for defining beginning, duration and ending of pause. Also is offers options for counting in pause time and obligatory use of pauses. 


 

Penalties tab contains labels with inherit options from earliness and delay labels. It is possible to count double time, or to cancel the whole daily time amount. 


 

Overtime tab contains fields with options for defining type of overtime work. There are two types: period and interval of overtime work. If the interval of overtime hours is defined, it is calculated ad product of overtime working hours and defined coefficient. According to settings, overtime is calculated to overtime accumulated hours, fond of effective hours, or it is recorded separately. If period of overtime hours is defined, then the user defines Threshold over which overtime hours are going to be calculated. For example, if period of working hours is defined to 8 hours, and threshold is also set to 8 hours, everything over 8 hours is going to the overtime hours.


 

Stand by tab contains fields for defining beginning and ending of stand by work.


 

In order to desired changes make official, choose “Submit” option by click.

Basic report contains information for number of working days, absence (sickness, business, vacation, private, etc.) in a month time. It also contains payment info, corrections, penalties, etc. It is possible to see all data connected to one employee: summarized working hours, break time, business and private outings. This report also provides information about working time that should be done, that was actually done, and differences between these information.

In this report the view of all days is given, where can be seen when and how much time did the employee work. Also the absence days of one employee can be viewed. Basic reports can be exported in Excel or PDF file format.

Date choice fields can be found in upper part of display for arbitrary report. By choosing these options user can specify from – to dates for which the report is needed, for example specific month. User can also choose specific organization unit within the company  to display desired information for basic report.

Working hours scheme is used in order to apply working days to employees by default cycles. In order to add new working hours scheme, click on the green plus sign in upper right angle.

 

After the normal work day and weekend day is defined with working hours, new working hours scheme can be created – typical work week.

It is obligatory to enter working hours scheme code and name. Referent date represents the start of counting working time according to the working hours scheme. If normal work week is taken under consideration, it will be needed to create 7 inputs in desired scheme. From first to fifth input will be considered normal work days, and sixth and seventh are weekend days. This way one cycle of a normal work week is defined. System will from now on automatically define working hours to the employees according to defined work and weekend days cycles. 

Working hours scheme can also be defines in manner that system itself defines approximate work time. After Basic work time is defined (as explained above), in part “Smart” shift times during the day can be defined. Next to shift time information the interval of time can be defined +/- and option “Smart” needs to be applied by click.

Attendo system will go through the working hours scheme (smart) in the moment of appliance to system by employee. During this process system will decide which working time defined in section “smart” suits the best the real time of the appliance to system (within the defined interval +/-). In case none working time is found, Attendo system will take defined working hours scheme from Basic section, predefined for that specific date.

Arbitrary report contains selectors for any data which is collected in system. After selection of data user is provided with option of downloading file with desired report. This can be done by simply clicking the option Download. This way, data can be exported to Excel file which user can open or save to local disc.

Date choice fields can be found in upper part of display for arbitrary report. By choosing these options user can specify from – to dates for which the report is needed, for example specific month. User can also choose specific organization unit within the company  to display desired information for arbitrary report. 

Current selection of fields is possible to save under arbitrary name, so it can be used again if needed. Specific selection defined this way can be chosen from drop-down menu in any future report. This way user is able to prepare custom reports according to his/hers specific needs.

Filter report is basically search for lines in system with arbitrarily defined values and conditions (logic operators). With this functionality it is possible to discover who of the employees used pause longer than it is defined. For example, who used lunch break longer than 30 minutes, who had private outings longer than 15 minutes, etc. 

Logic operators are calculated together, so if applied two or more operators together, as a result will be provided intersection of results for each filter applied. On top of the display can be found the filter fields for dates, select fields for the organization units within the company, etc. Filtered reports can be exported in Excel file format.

This module allows user to create numerous reports from data previously collected in Attendo system. Those reports can be with data about organisation unit, employee, date, start and end time, as well as the cumulative time report. Report can be exported in PDF file on click on icon in the bottom right corner.

Templates are in general browsers of data collected in the system, by specific values and conditions. It is possible to generate report in 5 different templates, as shown in picture below.

Go to section “Devices” and press green plus icon. On next picture are presented details to be entered for every device.

For device registration its necessary to enter  code or shorten name. Type of device can be selected from dropdown list, enter IP adress or link to dynamyc DNS service, set comunication port, code of device and set electro lock.


Complet list of devices can be exported in excel file. In case of any change of data, press update data for valid update.

This card can only be read by readers who are familiar with this code. A proximity card (125kHz) uses different RFID technologies – open standards or the copyright options of certain manufacturers. Common to all of them is that they do not have memory but only a chip serial number (CSN).

Attendo system supports use of:

  • Mifare 13.56MHz Non-Contact RFID Cards – “smart” RFID cards (read / write)
  • Proximity 125 kHz non-contact RFID cards – (read only)

Press M (menu).
Select “User” and press “OK”.

 

Select “Enroll” and press “OK”.

 

Enter ID. It is possible to enter ID via keyboard or pressing the buttons OUT or IN. Press “OK”.

 

Choose FP (fingerprint 1 or 2).

 

Scan the fingerprint two times on device sound signal. Choose option “SAVE” and press “OK”

Following this process the desired fingerprint is successfully scanned and entered to system.

Removing employee, by deleting fingerprint from database, will delete all data with NO backup option. Please be careful.
